Your privacy is important to us. This policy explains our approach to being clear about the personal information we collect from you, and how we will put your privacy first in responsibly handling that information.

Since 2018 the General Data Protection Regulation (GDPR) has imposed greater data protection obligations on organisations while giving more rights to individuals in relation to how their personal data is processed. It also requires organisations to provide information about their processing in a clear and transparent way. Personal data is anything that can identify you as a living individual.


HOW WE COLLECT YOUR PERSONAL DATA

Most of the personal information we process is provided to us directly by you in the following ways:

– By you getting in touch with us – by phone, face to face, by post, by business card or via our website enquiry form.

– Through us taking site photographs with your permission – our phones may take geo-location information.

– We also receive personal information indirectly, in the following scenarios:

– Through someone representing you.

– Via openly available public sources such as a company website or social media.

HOW LONG WE KEEP YOUR PERSONAL DATA

If you have a contract in place with us, we will hold your information for six years after the contract expires, subject to any legal requirement. You can of course ask us to delete your information at any time and we will oblige (subject to some exceptions set out in law).


SHARING YOUR DATA

We don’t share your personal data with any third parties for them to use for their own marketing purposes. We may share your data as follows:

  1. In the fulfilment of a contract, enquiry or tender process where contact details may need to be provided for costing of or for the provision of goods and services from trusted partners.
  2. When we are legally required to do so.
  3. When you have requested us to do so.

When we are working with our professional services providers – such as accountants and solicitors.

When you give us information about another person, you need to confirm you’ve been appointed to act on behalf of that other person. This includes providing their consent to process their data as set out in this policy. The person you’re representing needs to provide this consent in writing via hello@bobrichmondwatson.com


YOUR RIGHTS

You have rights over your data. Subject to some legal exceptions, you have the right to:

  1. Know what information we hold on you – We hold personal information in both paper form and on our IT systems in line with our retention policy. If you would like a copy of the information we hold about you, you can make a subject access request by emailing hello@bobrichmondwatson.com.  Please provide your current contact details and sign your request. We may need further proof of identity before we can release this information to you and we’ll endeavour to respond as soon as possible, at most within one calendar month.
  2. Have your information corrected or deleted – You have rights in certain circumstances to have inaccurate personal data corrected, deleted or destroyed. Please send any changes to hello@bobrichmondwatson.com providing both your old and new contact details or requests for deletion.
  3. Stop receiving direct marketing – You have the absolute right to not receive direct marketing. If you wish to not receive direct marketing, please email hello@bobrichmondwatson.com 
  4. Withdraw consent – If you have provided us with consent to process your personal data, you have the right to withdraw this and prevent any future processing. If you wish to withdraw consent, please email hello@bobrichmondwatson.com

DATA SECURITY AND SAFEGUARDS

Bob Richmond-Watson Landscape and Garden Design takes the protection of your personal data very seriously and we take appropriate steps to ensure your personal data is stored in a secure environment to prevent any unauthorised access. We may need to share your personal data with third parties. When we do so we have appropriate agreements in place to protect the data. Any personal information sharing between third parties and us are conducted by secure means.


EXTERNAL LINKS

If you use a link to go from our website to another website, or you request a service from a third party, this privacy policy will no longer apply once you have left this website. Your interaction on any other website is subject to that website’s own rules and policies.


ICO – INFORMATION COMMISSIONER’S OFFICE

You have the right to lodge a complaint with the ICO, the data protection regulator in the UK, if you believe your personal information has or is being used by us in a way that you believe does not comply with GDPR. The contact details for the Information Commissioner’s Office (ICO) are available on the ICO website. Please contact us before making any complaint and we’ll seek to resolve any concerns you may have. This privacy policy will be reviewed on a regular basis and updated if required.
